Who We Are Hillcrest Progressive School is a non-profit organization that provides quality educational services to children in a nurturing environment. We are governed by a volunteer Board of Directors, who have appointed a Director/Privacy Officer to oversee our privacy policies.

We may work with a number of outside agencies and support workers who may have limited access to personal information we hold in the course of their duties. These include accounting auditors, supply staff, and representatives from the Ministry of Education and Regional Municipality of Toronto Health Inspections Department. We limit their access to personal information based on legislative requirements and their authority to collect it, and ensure that they follow appropriate privacy principles.

About Our Students 

As a licensed provider of childcare services, we collect, use and disclose personal information about our students to better serve their needs and provide the best possible care. Our primary purpose for collecting this information is to provide quality childcare and meet the legislative requirements of the Child Care and Early Years Act. A secondary purpose is to contact the appropriate individuals in case of an emergency. We will only collect or disclose personal information without consent in rare cases of urgency or when we believe the individual would consent if asked and it is impractical to obtain consent. A consent form is also signed at registration to allow the taking of photographs of children in the school.

About Our Board of Directors 

The primary purpose for collecting personal information about our Board of Directors is to allow for the distribution of relevant information and enable them to fulfill their responsibilities. A secondary purpose is to complete necessary reporting documents for Revenue Canada and the Ministry of Education for licensing purposes.

About Our Staff 

For our staff, we collect personal information for payroll, benefits, and necessary work-related communication. Our primary purpose is to meet the legislative requirements and ensure the well-being of our students and workforce.

About Contract Staff 

For contract staff, such as supply staff, we collect personal information to ensure we can contact them in the future for new assignments and for necessary work-related communication. Examples of the type of personal information we collect include home addresses and telephone numbers. We will only collect such information without consent in rare cases of health emergency or to investigate a possible breach of law.

We take great care in protecting personal information and have taken the following steps to safeguard it:

  • Paper information is kept under supervision or secured in a locked or restricted area
  • Electronic hardware is kept under supervision or secured in a locked or restricted area and is password protected. Network security measures are in place to prevent unauthorized access to our systems.
